Work with your team

In short: Share a project by opening Project Settings (the gear icon) → Collaborators, typing a teammate's email, choosing Editor or Viewer and clicking Send invite. Only the project owner can invite, and the person needs a SciNodes account already. Shared projects appear under Shared in your teammates' sidebar, and the activity history shows who changed what.

Before you start

  • Ask each teammate to create a SciNodes account first. See Create your account.
  • You must be the project's owner to invite people.

1. Invite teammates

  1. Open the project.
  2. Click the gear icon to open Project Settings.
  3. Under Collaborators, type the person's email in "Invite by email...".
  4. Choose Editor or Viewer.
  5. Click Send invite.

The person is added at once. The project appears in their sidebar under Projects → Shared.

Inviting from the Invite collaborators step of the New Project wizard isn't available yet (coming soon). Use Project Settings → Collaborators instead.

2. Pick the right role

To change a role, the owner picks a new one from the menu next to the member's name. To remove someone, the owner clicks Remove member (×) next to their name.

To leave a project someone shared with you, open Project Settings → Collaborators and click Remove member next to your own name.

3. Work together

  • Who sees what: every member sees the corpus, saved maps, research objects, the activity history and each member's name, email and photo. Chats, unsaved draft maps, corpus folders (including My references), uploaded PDFs and notes stay private to each person by default. See Collaboration.
  • Activity history: on the Overview tab, Recent Activity shows recent changes and who made them. Click View all activity for the full list. Undone actions are marked "undone".
  • Notes: notes are private to their author by default. To share findings, add them to Research in Formation, which every member sees.
  • Syncing: the sync chip in the header shows "Syncing", "Unsynced changes" or "Changes synced". Click it to sync now.

4. Share results outside the project

  • Maps: export a map as PNG, JPEG, WEBP, SVG or PDF and send the file. See Exporting maps.
  • Bibliographies: download citations as .txt, .rtf, .bib or .ris. See Write with citations.
  • Notes: click Download as Markdown on a note.

Coming soon

  • Share links for a single map (coming soon). See Sharing maps. Until then, share the whole project or export the map.
  • Lab spaces that group your lab's projects and members (coming soon). See Lab.
  • Team-wide relevance and recency scores that show which publications your team uses most and most recently (coming soon). See Relevance and recency.

Troubleshooting

  • "No user with that email in your workspace." The person doesn't have a SciNodes account with that email yet. Ask them to sign up, or check the address.
  • "This person is already a member." They already have access. Change their role in the member list if needed.
  • "Only the project owner can share this project." Ask the owner to send the invite.

Tips

  • Agree on folders for screening decisions, such as "Include" and "Exclude", so everyone files publications the same way. See Folders.
  • Map preview images are saved periodically and can be opened by anyone who has their URL. Keep this in mind for sensitive projects.
  • If you archive a shared project with Mark as legacy, it becomes read-only until you restore it. See Legacy projects.

FAQ

Can I share a project with someone who doesn't have a SciNodes account?

Not yet. The person must create a SciNodes account first. Then invite them by the email they signed up with.

Can an Editor invite other people?

No. Only the owner can invite members, change roles or remove people. Editors can edit content and rename the project.

Can I see who changed something in a shared project?

Yes. Open the Overview tab and check Recent Activity, or click View all activity.

Can I share just one map instead of the whole project?

Not yet. Map share links are coming soon. For now, export the map as an image or PDF, or share the project as a Viewer.
